A Problem Worth Solving
For the past 8 years, I’ve been a fractional CIO managing IT for 5 clients simultaneously. Each with different needs, different tools, different reporting cadences.
The result? 37 Excel files. Different structures, different formats, different color schemes for status. Endless Friday afternoons spent consolidating data into powerpoints. Monday mornings spent in steering committee meetings where I’m reading numbers instead of making decisions.
There’s no tool for this.
Monday.com, Jira, Asana — they’re great. But run 5 instances for 5 clients? That’s expensive and a nightmare to maintain. So you use Excel. Because Excel works everywhere. Until it doesn’t.
The Real Problem
The steering committee reports. Every month, 4 meetings, 4 reports. Each one takes me about 2 hours:
- 30 min to consolidate data from across spreadsheets
- 1 hour to write a clean report
- 30 min after the meeting to formalize and send
That’s 8 hours every Monday just on administrative work. Not making decisions. Not solving problems. Just… updating spreadsheets and writing reports.
And then one week I missed a budget risk. It was in the data, but I was so drowning in numbers that I didn’t see the trend. That’s when I realized: I’m not managing projects. I’m managing Excel files.
The Insight
Fast forward to late 2024. I started experimenting with generative AI. What if an AI could read raw data and generate a steering committee report in 30 seconds?
That led to more questions:
- What if the AI could flag risks I might miss?
- What if the AI could suggest actions based on patterns?
- What if I could share project visibility with clients without creating 5 more accounts?
And more practically:
- What if I built this for every fractional CIO with the same problem?
Introducing KODA PM
KODA PM is a multi-tenant SaaS designed specifically for fractional CIOs:
1. Multi-tenant native. One workspace per client. One unified way of working across all your clients. Everything is scoped to the workspace, with audit trails for compliance.
2. AI-powered assistant (Kody). Cutting-edge AI integrated directly. Ask Kody to generate your steering committee report. Ask Kody to flag risks. Ask Kody to suggest a re-prioritization of your roadmap. It happens in seconds.
3. Client visibility without friction. Magic links. Share a URL with your client, they see their project status in real-time. No account creation, no SSO setup, no overhead. Just a secure URL.
4. Open architecture. 45+ MCP tools integrated. Claude Desktop, Cursor, n8n and any MCP-compatible client can access KODA PM directly. Fractional CIOs who want to build custom workflows can use KODA PM as a backend via the API.
5. Audit and compliance. Who changed what, when, from where (web, API, AI)? It’s all tracked. Immutable audit logs for compliance and accountability.

Why Now
Three things aligned in 2025:
-
AI is production-ready. The latest generation of LLMs is reliable for real work. I’ve tested it on real steering committees. It works.
-
SaaS infrastructure is commodity. Railway for hosting, Postgres, Tailwind, TypeScript — everything you need to build a SaaS without being a megacorp.
-
Fractional CIOs are looking for a solution. I’ve talked to 20+ other fractional CIOs managing 3-8 clients each. All have the same problem. All use Excel. All waste 8-10 hours per week on pure administrative work.
The Differentiators
Unlike Asana or Monday: We’re not trying to be a general project management tool. We’re built from the ground up for the fractional CIO managing multiple clients simultaneously.
Unlike Notion or Coda: We have a real database, not a collaboration platform. We’re built for operational excellence, not documentation. We track audit logs, we enforce multi-tenancy, we handle compliance.
Unlike other “AI-powered” tools: Kody isn’t a chatbot that makes up information. Kody reads your real data, your real projects, your real milestones. Every suggestion is grounded in facts.
